Special Event Fundraising by “Touch:” Part 3—Last Impressions

Final “touch points” at an event are what guests often remember about the event. Organization is key when considering what the guests will experience last. Processes and people that the guests experience at the end of the night include:

  • Check-Out/Package Pick-Up
  • Valet Parking
  • Interaction with Staff/Committee Volunteers

It is critical that all of these final event “touch points” are positive. We, at The Eventful Company, have a system in place for check-out that helps all of the guests have smooth final interactions with the “touch points” of a fundraising event. Our use of AuctionMaestro software allows us to quickly enter information about winning bids and any other fundraising purchases or donations. Once all of the information is entered, we then organize any tangible purchases and certificates according to the bidder numbers of the guests. This results in a very smooth check-out for guests, which is a vital final “touch point” at the event.

After the event, it is important to reach out to guests and sponsors in some way—through final, post-event “touch points.” Some simple, but impactful ideas for post-event “touch points” are:

  • Thank-You Letters
  • Personal Notes to Sponsors
  • Post-Event Collateral Pieces

By smoothing over any minor issues anyone may have had, and thanking guests and sponsors for their time and contribution, you are giving a professional and positive impression of yourself and your company to your target audience.
